1. Reservations & Minimum Stay Requirements
Meander is an intimate estate property designed for immersive stays. To preserve the rhythm and experience of the Estate, the following minimum stay requirements apply:
Peak Season
April 15 – October 31 Including holiday weekends, UVA event weekends, and peak foliage dates.
· Weekend stays (Friday–Sunday) require a two-night minimum.
· Saturday arrivals during peak season require a two-night stay.
· Select high-demand weekends may require a longer minimum stay.
Midweek (Peak Season)
· One-night stays may be available Sunday–Thursday, based on availability.
Off-Peak Season
November 1 – April 14 (excluding holidays and special event weekends)
· One-night stays permitted.
· Select weekends may require a two-night minimum.
Within 7 days of arrival, select single-night stays may be released to accommodate gap availability.
2. Rates & Taxes
· All rates are quoted per room, per night.
· Rates do not include applicable state and local taxes.
· Rates may vary based on season, demand, and special events.
· Promotional and packaged rates may carry unique terms and are non-combinable.
3. Deposits & Payment Policy
Standard Reservations
· A 50% deposit is required at the time of booking.
· The remaining balance is charged 7 days prior to arrival.
Peak Season & High-Demand Dates
· 50% deposit at booking.
· Balance charged 21 days prior to arrival.
Event Weekends & Holidays
· 50% deposit at booking.
· Remaining balance charged 30 days prior to arrival.
Full prepayment promotions may be offered periodically and are non-refundable.
We accept major credit cards.
4. Cancellation Policy
As a small estate property, cancellations impact us significantly. We encourage guests to consider travel insurance.
Off-Peak Reservations
· Cancellations made 7 days or more prior to arrival receive a full refund of deposit.
· Within 7 days, deposit is non-refundable.
Peak Season Reservations
· Cancellations must be made at least 21 days prior to arrival to receive a refund of deposit.
· Within 21 days, deposit is non-refundable.
Event Weekends & Holidays
· Cancellations must be made at least 30 days prior to arrival.
· Within 30 days, full reservation value is non-refundable.
Early departures and no-shows are charged the full value of the reserved stay.
5. Group & Wedding Block Policies
For room blocks associated with weddings, retreats, or private events:
· Terms are governed by the executed event agreement.
· Deposits and attrition policies apply as outlined in the contract.
· Individual guest cancellations follow the contracted group terms.
6. Check-In & Check-Out
· Check-In: 4:00 PM
· Check-Out: 11:00 AM
Early check-in and late check-out may be available upon request and subject to availability. Late departures without approval may incur additional charges.
7. Estate Experience & Guest Conduct
Meander is a tranquil estate retreat.
· Quiet hours: 10:00 PM – 8:00 AM
· Excessive noise or disruptive behavior may result in termination of stay without refund.
· Only registered guests may occupy overnight rooms.
We reserve the right to refuse service to anyone violating estate policies.
8. Children & PETS
Children
· Children are welcome; however, some rooms may be best suited for adults.
· Parents are responsible for supervision at all times.
Pets
· Our cottages are pet-friendly.
· Prior approval required.
· Pet fee applies.
· Pets must remain leashed outdoors and may not be left unattended in rooms.
Service animals are always welcome.
9. Pet Policy
Four-Legged Guests Welcome
At Meander, we understand that for many guests, pets are family. We are pleased to welcome well-mannered dogs in select accommodations and throughout designated outdoor areas of the Estate.
Please note:
· Dogs are permitted in select cottages only.
· Pets are not permitted in the Manor House suites in order to preserve the historic interiors and accommodate guests with allergies.
· Cats may be considered upon prior approval.
· Exotic, agricultural, or non-domestic animals are not permitted.
· Maximum 2 pets per cottage unless authorized.
Advance notice and approval are required prior to arrival.
Pet Fee
A pet fee of $50 per pet, per stay applies.
This fee allows us to:
· Provide enhanced cleaning protocols
· Preserve historic furnishings and textiles
· Maintain allergen-sensitive guest rooms
· Offer thoughtful amenities tailored for your pet
Our goal is to ensure a seamless experience for all guests — both two-legged and four-legged.
VIP (Very Important Pet) Amenities
We treat our four-legged guests as VIPs. Depending on accommodation and availability, pet amenities may include:
· In-room water and food bowls
· Pet welcome treats upon arrival
· Designated outdoor relief areas
· Estate walking trails and meadow paths
· Waste stations throughout the grounds
· Recommendations for nearby pet-friendly wineries and parks
With advance notice, we are happy to provide a list of local veterinary services and pet supply retailers.
Guidelines for a Comfortable Stay
To preserve the tranquility of the Estate:
· Pets must remain leashed while outdoors.
· Pets may not be left unattended in guest rooms unless crated.
· Excessive barking or disruptive behavior may require alternative arrangements.
· Guests are responsible for any damages or additional cleaning required.
We reserve the right to charge for excessive wear or damages beyond normal use.
Why We Limit Pets in the Manor House
The Manor House suites are part of the Estate’s historic fabric. In order to:
· Preserve original architectural features
· Protect antique furnishings
· Maintain hypoallergenic room options
Pets are not permitted in these accommodations.
We appreciate your understanding as we balance heritage preservation with inclusive hospitality.
10. Smoking Policy
Meander is a non-smoking property.
· Smoking is prohibited inside all buildings and outdoors except for designated areas.
· Violations within rooms and cottages incur a minimum $500 cleaning fee.
11. Damages & Incidentals
A valid credit card is required at check-in for incidentals.
Guests are responsible for:
· Damages beyond normal wear and tear
· Excessive cleaning
· Missing items
12. Force Majeure
The Inn at Meander shall not be liable for failure to perform obligations due to circumstances beyond reasonable control including but not limited to acts of God, weather events, government action, or other force majeure events.
13. Travel Insurance Recommendation
Given the structured cancellation windows, we strongly recommend guests consider travel insurance to protect their stay investment.
